For security and Workplace Health & Safety reasons, exhibitors will not be permitted access to their stands outside the move-in/out and exhibition open hours unless prior arrangements have been made in writing with RX Australia. A list of staff names and the daily hours that they will be on the stand must be supplied.

MCEC loading docks are accessible via Normanby Road and controlled by a manned checkpoint. In order to minimise traffic congestion on the public roads surrounding the venue, it is a venue requirement that a move-in schedule is developed and adhered to. Vehicles trying to access the loading dock outside of their designated timeslot will not be granted access.

Please ensure that you are on site when you arrange for the delivery of your freight. Neither RX Australia nor the venue will take delivery for any goods, packages or other materials on behalf of an exhibitor. No responsibility will be accepted by RX Australia for the safety of any such items delivered to the site or awaiting collection in the absence of the exhibitor, their agent or their contractor.

Important Information:

  • Goods delivery can be done during move-in times. (**Deliveries cannot be made prior to the first date of move in**)
  • Neither MCEC nor the Organisers will take delivery of any goods, packages or other material on behalf of exhibitors, nor will the Organisers accept responsibility for the safety or well-being of any such items delivered to the site in the absence of the exhibitor, his/her agent or contractor.
  • All stands must be completely dressed and all rubbish removed by 10.00pm on Tuesday 22 October.
  • All exhibitors must wear high visibility vests, closed-toe shoes, and have identification during move-in.
  • Children are not permitted in the halls or on the loading dock during move-in or move out.

Important Information:

  • Displays should not be dismantled or products removed before the official closing of the Show at 5:00pm on Thursday, 24 October.
  • Move-out of products will commence approx. 30 minutes after the Show close or once the halls are clear of visitors and it is safe to do so & exhibitors have their hi-vis vest on.
  • Space Only stands cannot commence stand dismantle until 6:30pm.
  • Removal of shell scheme walls commences at 10:00pm, please ensure all material is removed by this time. Any items remaining should be packed and placed in the centre of your stand, well clear of the stand wall and marked with: company name, contact person, contact phone number and recipient address details. No responsibility will be accepted by RX for the return of these items.
  • All stands must have items completely removed by 12:00pm on Friday 25 October.

Show Closure:

When the Show closes at 5:00pm, the area will be defined as an exhibition work site and safety precautions must be taken.

  • All exhibitors must wear high visibility vests, closed toe shoes and have identification.
  • No alcohol is to be consumed during the move out. 
  • Children are not permitted in the halls or on the loading dock during move-out. 
  • Exhibitors are not permitted to dismantle stands, remove merchandise or remove boxes from the storage area prior to the official closing of the Show.
  • The loading dock door will only open once all visitors have left the exhibition and when it is considered safe to do so.
  • Vehicles should not queue for dock access until two hours after the end of the expo. Exhibitors should also advise their freight companies that they will not gain access onto the loading dock until this time.
  • Please be patient and refrain from walking onto the loading dock during this high traffic period. If exhibitors walk onto the loading dock area all forklift activity must stop. This is a directive from WORKCOVER. 
  • Exhibitors are responsible for the security of their displays and exhibits until removed. Waste Expo Australia will not accept responsibility for the loss of any items.
  • Exhibitors are reminded that goods will be at risk during move out and that stands should not be left unattended until all items and equipment have been collected by the appropriate suppliers.
  • Goods Left: Any exhibit or material remaining after 12:00pm on Friday 25 October will be freighted off-site and stored at the exhibitor's expense. No responsibility will be accepted by Waste Expo Australia for the return of these items.

  • If you are bringing in a vehicle or a piece of heavy equipment then you will need to provide its details in Task 7.
  • The MCEC Exhibition Bays have been designed to tolerate loads of up to 20kPa or two tonne per sqm.
  • Please note if you’re bringing in any heavy equipment this will need to be organised through our logistics provider GEL Events, please see contact details below:
  • In addition, any vehicles or heavy equipment will need to be arrange for drop off on Monday 21st October.
  • Depending on the size and weight of your equipment our Operations team will be in touch to discuss a specific time to move in.

Please note:

  • No one is permitted to use plant or equipment’s onsite unless authorised by RX
  • The WHS management program has all forklifts services and heavy equipment requirements managed by GEL Events.

WH&S Rules and Regulations

This policy provides a safe environment for all personnel (organisers, exhibitors, contractors, visitors) involved in RX events. WH&S is an important initiative and we ask for your support in our safety endeavours.

Simply read the policy document and complete Task 5 acknowledging you have read and understood the WH&S policy to RX by the due date.

Ensure that all personnel involved in your exhibit read this document and comply with the RX policy and procedures and/or have their own policy/procedures.

During the build-up and breakdown periods, your staff and sub-contractors should be constantly reminded by you of the need for vigilance regarding the health and safety of themselves and those working in their vicinity. Any violations or concerns regarding any of the above points should be reported to the hall floor manager or to the organising office.

  • Shell Scheme Exhibitors
    If you have contracted the shell scheme package you are covered within our WH&S policy. However, if you are planning to contract other services as part of your stand design, it is advised that you ensure that those contractors/suppliers have their own WH&S policy and follow safe practices - this declaration can therefore act as a guide for you in this regard. 
  • Space Only Stands
    If you have elected to contract a space only stand, your stand, walls, signs, floor coverings, etc will need to be constructed and supplied. You are therefore required to complete ALL details within the Stand Declaration (Task 7).

It is the policy of RX to endeavour to seek the co-operation of all concerned in order to achieve the highest standards, in all aspects, of health and safety.

RX, along with each respective venue, has, within its scope of policies, a responsibility to ensure that safe working practices are maintained at all times, which includes ensuring that provision is made whereby persons other than the organiser's or venue employees are reminded of their responsibilities whilst working at the exhibition centre.

As an exhibitor, contractor or agent you have a duty under Work, Health and Safety Legislation to ensure that all personnel, contracted by you are aware that they have a responsibility, so far as is reasonably practicable, for the health, safety and welfare of all employees, and that any plant, or systems of work which may be used are, so far as is reasonably practicable, safe and without risks to health. This includes that all employees are provided with information, instruction, training and supervision to ensure not only their own health and safety, but also of others working or attending the vicinity.

Under Work, Health and Safety Legislation all exhibitors and contractors are required to carry out an assessment of the activities involving the use, handling and storage of hazardous substances within the workplace. As such, RX will undertake an assessment of how any substances used, handled or stored at an exhibition may affect others and if precautions are needed, to ensure that they are put into place.

You are also required to have in your possession a copy of your own Health and Safety policy and a copy of the Health and Safety policy document of each contractor employed by you which may be requested during the exhibition.

Public Liability Insurance

Every exhibitor must be covered for Public Liability. This can either be the cover we offer or your own insurance. 

As an exhibitor at an RX Global event, we can provide you with Public Liability Insurance. The insurance covers you for a minimum $10,000,000 AUD Public Liability Insurance for the duration of the event including move-in and move-out. This is provided at no cost to you.

The Public Liability Insurance RX provides has been included in your Contract to Exhibit. However, if you chose to sign the contract WITHOUT Public Liability Insurance included then you are required to use your own Public Liability Insurance. You MUST upload your Certificate of Currency via Task 6 in the Exhibitor Hub. 

Your insurance must cover you for the full dates of the event (including move-in and move-out) and be to a minimum of $10,000,000 AUD. If you do not provide your own Certificate of Currently before the event starts you will not be allowed to set up or participate in the event.

Demonstrations

Demonstrations (Woking Machinery / Processess / Welding / Cutting) 

All demonstrations must be carried out in accordance with the Workplace Health and Safety Legislation. Any demonstration is subject to approval from RX and the Venue. If you are planning on using any of the following, written notification is required: filtration, open flames, snow machines, lasers, smoke machines, running of combustion engines, flammable substances, welding, cutting equipment, drilling or grinding, dangerous, explosive or noxious substances.

  • A description of what is being demonstrated, length and frequency of demonstration
  • MSDS on gases/liquids used, if any
  • Confirmation that you will comply with Workcover/WHS regulations, where appropriate.

  • All exhibits must, where they are not sufficiently stable as freestanding models, be properly secured to the floor or other structure.
  • Floors on exhibit stands must be kept clear of articles or substances likely to cause persons to slip or trip.
  • All electrical conductors must be properly installed by licensed electricians and adequately protected.
  • Any stand incorporating a demonstration or exhibits providing a potential fire hazard must be constructed in approved materials. This applies particularly to the immediate area of the demonstration where a non-combustible material such as asbestos-free non-combustible building board or metal should be used.
  • Exhibits must be positioned so that at no time do they protrude into the aisle (as a hazard to visitors)
  • All machines must be guarded to the Australian health and safety standard which is normal for its operation in an industrial setting.
  • Any person operating be fully attached equipment or machinery during the exhibition must hold the relevant certificate or licence as required by law.

  • No more than one day’s supply of any dangerous goods shall be stored on a display stand or within the venue at any one time. All chemicals/gasses need to be secured and away from the public and all gases/chemicals need to be taken out of the hall each night for storage. Please advise Reed Exhibitions if you require this service.
  • All dangerous goods are to be stored in the appropriate gas storage cage situated on the Loading Dock.
  • PPE and safeguards are also required, where appropriate
  • A fire extinguisher and/or fire blanket may also be required.
  • No paint, oil, spirit, chemicals or other noxious substances shall be discharged into the sewage system. All such substances shall be collected and disposed of in a lawful manner
  • Demonstrations should not be on the aisle frontage of your stand. There should be at the least, a 1 meter buffer zone (dependent on the size of your stand).
  • All personnel should be trained in manual handling of gases
  • Adequate ventilation on the stand is required, where appropriate.
  • Forms and signs that need to be attached to the stand are: *Hotwork Permit - Welding, Cutting Demonstrations (issued by the venue upon receipt of the above information) *MSDS & Dangerous Hazard

Based on the details submitted to RX, the venue will issue a Hotwork Permit on site for your demonstration.

  • No person shall demonstrate or operate a machine unless he/she has received appropriate training and clear instructions; both in relation to the operation of the machine and their responsibilities to members of the public in both a normal and emergency situation.
  • Suitable, clearly visible and accessible emergency stop controls must be available.
  • All sources of power to and from the machine including electrical, pneumatic and hydraulic, should be provided with an isolator which should be switched off when the machine is not actually being demonstrated by an authorised user.
  • Adequate extraction or other equally effective methods must be provided for dust, chips and fumes. Where necessary, appropriate explosion release and fire prevention measures must be incorporated in this.
  • Adequate lighting must be provided both for the machine and its surrounding area.
  • Where appropriate, screens must be used to provide adequate eye protection to members of the public.
  • Persons demonstrating machines must wear adequate personal protective equipment where appropriate.
  • Where demonstrations are likely to create toxic or noxious fumes or unacceptable strong smelling odours in the hall consideration must be given to providing exhaust to the atmosphere. If the demonstrations are of very short duration and at infrequent intervals, then it may be possible to exhaust above a height of 6m into the hall. If the operation under demonstration is normally required by the health and safety authoritative to exhaust the fumes to the outside atmosphere then this principle will apply in the exhibition hall.
  • Please arrange for bins to capture swarf, if required.

Motor vehicles or other mechanical appliances displayed within the exhibition areas must contain between 80% - 100% of a full tank of fuel, be totally free of any leaks and have a drip tray underneath while on display. A fire extinguisher must also be clearly visible on the stand. A set of keys must be given to the Operations Manager. Please contact our Operations Team to obtain permission to display a vehicle.
